The EBA DMS works on the basis of licences, which are a prerequisite for certain functionalities of the software and are the basis for charging the rental fee for the software.
The following licences are available:
- EBA DMS Standard
- EBA DMS default licence, based on a monthly subscription fee
- electronic exchange of legally valid, structured business documents (e.g. invoice, delivery note, etc.),
- receiving electronic documents from business entities that are included in the EBA DMS system,
- full support for the document workflow of documents received and issued within the EBA DMS system,
- audit-proof storage of electronic documents received and issued within the EBA DMS system.
- exchange of legally valid, unstructured business documents (e.g.: letter, contract, etc.) with business partners integrated in the EBA DMS system,
- the exchange of legally valid, unstructured business documents with business partners not included in the EBA DMS system via e-mail;
- capture of paper documents by scanning, recognition of text and fields on documents (OCR), automatic recognition of documents,
- capture of electronic documents received via other electronic channels (e.g.: e-invoices via e-mail);
- storage and management of all documents relevant for the company (Office documents, pictures, plans, etc.) – creation of any type of documents for storing and processing any documentation in the company;
- EBA printer is part of this licence – capture of any document via a virtual printer (the document is captured in PDF/A format, allowing digital signing of the document and legally valid exchange of such document with the business partner);
- the creation of document workflows.
- EBA DMS Enterprise
- The EBA DMS Extensions licence is based on a monthly subscription, and additionally offers:
- Mobile/web client
- Advanced OCR
- Advanced Search+
- Mobile signature
- Easy document sharing
- Archive databases
- The EBA DMS Extensions licence is based on a monthly subscription, and additionally offers:
- EBA DMS Accounting
- Additional EBA DMS licence – suitable for accounting services
- EBA DMS eXchange
- Additional EBA DMS licence – for exchanging data and documents directly (without intermediaries) with business partners and supports modern protocols such as IMAP/SMTP, MS EXCHANGE, AS2.
License overview and ordering
Licence status and ordering is managed in the Administration>Authorisation System>Licences menu.

In the list we can see which licences we are subscribed to – status.
The number of licenses tells us how many users are on each company – this is the basis for calculating the system’s monthly fee.
If you want to subscribe to an additional licence – for example EBA Exchange – click on the licence and press the Subscribe button. After ordering, you need to run the send/receive function – to send the request to our agency.
EBA DMS Enterprise licence must be confirmed from us as this means appendix to your rental contract of EBA DMS.

Once we have approved your request, run send/accept again to receive the new licences.
Send/receive function must be triggered for each status change – to subscribe, unsubscribe, etc.
