We need to set up a sending rule to send the relevant information to the mail server. In particular, the fields recipient (to), sender (from), subject (subject) and content are important.
The more we define these fields, the less likely it is that the sent messages will end up in SPAM mailboxes, because mail servers are becoming more and more demanding about the relevance of these fields and it is our job to make sure that the mail server on the recipient’s side gets all the information it requires.
The sending rules are set in the menu Administration>Modification>Sending Rules.
Start the wizard for the rule by clicking on the “Add” button.
Select the “SMTP Email Exchange” protocol:

Select a partner.

Receiver email list. If using a query, leave blank.
Message subject: Specify the subject of the message.
Message body: Enter the content of the message.
Sender email from: Select who the sender of the message is from the list.
Sender email: Enter the email address from which we are sending if we selected “Manual” for the previous setting.
Reply to email: Enter if you want the recipient to reply to an email other than the one from which they received the message.
Delivery notification: If you want to receive a receipt from the recipient
Don’t send attachments: Don’t send attachments. A document created in EBA DMS is considered an attachment.
Attachment order: Attachment order
Zip all attachments: Compress all attachments into a .zip file
In the subject and content fields we can use mapped data to display certain data directly from the document:
